Privacy & client requirements
Read this before creating an account or connecting Gmail, WhatsApp, or other channels.
Client overview (KYC & readiness)
Before you sign up or connect channels, review what we need from your organization and what you are responsible for when using Convertyx for outbound sales.
Before you log in
- You represent a legitimate business with authority to run outbound on behalf of that organization.
- You will only message prospects you are allowed to contact under applicable law (consent, legitimate interest, or equivalent).
- You understand that email, WhatsApp, and LinkedIn each have separate platform rules — we help enforce limits, but compliance is shared.
- Connector tokens (Gmail, Meta WhatsApp) may expire; you are responsible for reconnecting channels when prompted.
- Outbound volume ramps gradually (domain warm-up for email). Do not bypass caps or send unsolicited bulk spam.
What we require during onboarding
- Business identity: legal or trading name, website domain, and industry — used to build your ICP and knowledge base.
- ICP definition: target industries, roles, geographies, company size, services you sell, and exclusion lists (competitors, existing customers).
- Brand & persona: how the AI should represent you (name, title, voice, value props) — this text is injected into outbound messages.
- Alert recipients: email or WhatsApp numbers for hot-lead handoff notifications.
Channel connections (after signup)
- Gmail / email: OAuth to a mailbox you control. You must own or be authorized to send from that domain. New domains follow a warm-up schedule before full volume.
- WhatsApp (Meta):Embedded Signup for your WhatsApp Business Account. Display name and message templates may require Meta approval. Free-form replies are only allowed inside Meta's 24-hour customer service window unless using approved templates.
- LinkedIn:Where enabled, you must comply with LinkedIn's terms and rate limits; automated abuse may result in account restrictions.
Billing & subscription
Paid plans are processed via Razorpay. You provide billing contact details through the payment flow. Subscription status controls prospect and channel quotas (email, phone, LinkedIn). Usage beyond plan limits is blocked until you upgrade or the next billing cycle.
Data you upload & prospect lists
- You warrant that contact data you import or that we discover on your behalf was obtained lawfully.
- You will honor opt-out, unsubscribe, and “do not contact” requests promptly.
- Do not upload sensitive personal data unrelated to B2B sales (health, financial, government IDs, etc.).
- You grant Convertyx a limited license to process this data solely to operate the service for your workspace.
Your ongoing responsibilities
- Keep onboarding and ICP information accurate so AI messaging stays truthful and on-brand.
- Review handoff briefs and high-intent leads in a timely manner.
- Do not share workspace credentials; you are liable for activity under your account.
- Report security incidents or unauthorized connector access to us promptly.
What we may verify or restrict
We may suspend or limit accounts that violate these requirements, generate excessive complaints or bounces, bypass platform limits, or misuse integrations. We do not provide legal advice — consult your counsel for jurisdiction-specific marketing and data protection obligations.
